Brandon Burgess runs a Santa Cruz food truck and a construction company, and a single accountant keeps the books for both. The businesses run fine. The paperwork was the problem.

Every month meant gathering bank statements, point-of-sale sales reports, sales tax records, written checks, and a stack of supplier invoices, then emailing it all over. There was no set rhythm, so it happened last minute, and the accountant still ended up asking for more. After a full day of physical work, sending paperwork was the last thing he wanted to do.

More accounting software was not the answer. Brandon runs a setup he trusts and had no interest in rebuilding how he works. He needed the handoff itself to get out of his way, not a new platform to learn.

We started with discovery, not a demo. A detailed questionnaire and a follow-up call mapped exactly how money moved through both businesses, what the accountant needed each month, and where the real friction lived.

That surfaced the key insight: the goal was not to replace anything Brandon already used. It was to package what he already had, cleanly and consistently, so the handoff stopped being a chore. From there we built a single-purpose tool: he photographs an invoice, receipt, or statement on his phone and the app reads the totals instantly; it reads every line of his bank statements and sorts them into categories it learns as he corrects them; and each month closes out as a clean package, a cover sheet, a transactions file, and the supporting documents, ready to hand off in one step.

Brandon moved from a demo to his real books on his own. He loaded eight months of statements and let the app sort more than a thousand transactions after teaching it a handful of his own categories. When he asked whether the tool could learn the specific way he sorts his statement lines, we built that and shipped it.

The handoff that used to be a last-minute scramble is now a running, organized record he keeps as he goes, not a task he dreads at month end.
